    The Assistant Director of Donor Finance, Fund Compliance, and Financial Systems is a senior leader responsible for ensuring the financial integrity, documentation accuracy, and system coordination of all donor-restricted funds. Reporting directly to the Vice President for Development and Alumni Engagement, this position plays a critical cross-functional role—serving as the primary liaison to the University’s Finance Division and as lead administrator for Financial Edge NXT (FE NXT) within the development enterprise.
    The Assistant Director manages the end-to-end process for gift fund creation, collaborates closely with University Finance to establish general ledger (GL) accounts, and oversees all fund reconciliation processes. They ensure fund documentation complies with donor intent, CASE standards, and institutional policies. This position also supervises the Donor Services Associate for Financial Reporting & Fund Integrity, who supports internal reporting, scholarship tracking, and fund-level data management.
    This Assistant Director works in close partnership with the Director of Donor Services, Finance, and Stewardship, who separately manages gift processing, Raiser’s Edge NXT operations, and donor-facing stewardship reports. The two roles are jointly responsible for maintaining donor trust and financial transparency, with clearly delineated responsibilities.

    Essential Job Duties
    Financial Systems and University Finance Coordination
    Serve as the lead system administrator for Financial Edge NXT (FE NXT) within Development and Alumni Engagement
    Lead the division’s collaboration with Budget and Accounting to establish GL accounts for all donor funds
    Reconcile Development’s fund data with University Finance records to ensure audit-ready accuracy
    Coordinate with Finance on quarterly and year-end reviews of restricted, endowed, and current-use accounts

    Donor Fund Compliance and Documentation
    Oversee the development, standardization, and review of all donor fund agreements (endowment, scholarship, current-use, and programmatic funds)
    Ensure full compliance with CASE standards, IRS regulations, and institutional gift acceptance policies
    Review fund language with legal, finance, and gift officers to ensure clarity and enforceability
    Maintain a centralized archive of all active donor agreements and related documentation

    Internal Financial Reporting and Gift Fund Oversight
    Ensures Financial Reporting & Fund Integrity, ensuring timely internal fund reports and financial data summaries
    Design and deliver custom internal reports for development officers, unit liaisons, and senior leadership
    Collaborate with Development Communications and Stewardship to align financial content with donor-facing impact reports
    Support the campaign’s financial documentation needs by producing gift summaries and fund activity reports as needed
    Data & Records Coordination
    Oversee alignment between FE NXT and Raiser’s Edge NXT for all fund-related fields
    Approve financial attributes and codes related to fund categories, restrictions, and donor intent
    Ensure integrity of biographical and fund data maintained by the Donor Services Associate

    Collaboration Responsibilities
    Works closely with:
    Director of Donor Services, Finance, and Stewardship (who oversees gift entry, Raiser’s Edge, and stewardship communication
    Finance Division (Budget & Accounting offices) for reconciliation and GL coordination
    Frontline fundraisers and development officers to ensure timely and accurate documentation of donor intent
    Office of Legal Counsel and internal audit when needed for compliance matters
    Qualifications (Education, Experience and Specialized Training)
    Bachelor’s degree in Accounting, Finance, Business Administration, or a related field required (Master’s or CPA strongly preferred), relevant mix of professional experience in this area of work is acceptable if degree is in an unrelated field.
    At least 5 years of progressively responsible experience in nonprofit or university accounting, fund management, or donor finance

    Skills and Attributes
    Knowledge:
    Demonstrated experience administering Financial Edge NXT and Raiser’s Edge NXT (preferred)
    Skills:
    Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with fundraising or CRM platforms (e.g. Raiser’s Edge) is a plus.
    Strong writing, communication, and editing skills with an ability to produce high-quality materials for internal and external audiences.
    Proven organizational and project management skills, with keen attention to detail and a proactive approach to problem-solving.
    Experience managing or working with scholarship system (e.g., AcademicWorks, Blackbaud Award Management, etc.) strongly preferred
    Ability:
    Excellent written, analytical, and interpersonal communication skills
    Strong organizational skills with attention to detail and follow-through
